Where you have employees driving their own cars "at work" it is essential that you have recorded details of their licence, insurance (for business use) and vehicles driven.  Equally HMRC compliant mileage claims are essential.  I know that I am probably stating the obvious but there is a system that can automate these processes www.tripometer.co.uk it's worth taking a look at.
